I use dates differently for personal and work tasks: If I don’t organise them, they’ll show up in ‘Not planned’ so won’t be missed. New tasks are set to no priority by default. Date: today or overdue OR priority: high AND list: whatever you want here (this has to go last). go to create custom smart list and then advanced settings. Not planned: no date, no priority and no tag.Work priority: work tasks due today, overdue or with high priority (see below for how to create this).Important: non-work tasks with high priority.I decided to only add more again if I need them - and I haven’t yet. I used to have lots more, then I was off work for a long time (sick leave and furlough) so I temporarily archived all my work lists and deleted most of my custom smart lists. I’ve stuck with these three for ages now. I only add tags if I seem to need them, and I delete them if I don’t find I’m using them. backburner: for tasks I won’t get to for a while.repeating: so I can easily find all repeating tasks.waiting: anything where I’m waiting for someone else or for something to happen.I also have a list called Later for non-work tasks scheduled further ahead in the future to keep them out of the way. My other lists are for areas of my life eg Personal, Interests, Errands, Home, etc. Lists: I have several lists for work eg for general tasks, meeting agendas and learning activities.

Otherwise I prefer not to bother with folders. I don’t use kanban (seeing things in that format stresses me out), sections (the names don’t show in lists like Today and it’s just an extra level of complication), notes (I prefer Bear for this) or habits, and I don’t like nested tasks but I’d use them if I really had to.įolders: I just have one folder for Work, so I can easily include or exclude work tasks from custom smart lists. What doesn’t: notes and reference material, anything listed elsewhere (eg the content of my Netflix queue) or reminders I don’t need to see until the moment they’re due (eg take medication - these go in Due). What goes in TickTick: actionable tasks that are either essential to do, or essential to put in TickTick to get them off my mind. The simpler Zen to Done (ZTD) approach also has some helpful aspects. For example, I don’t find contexts useful (it takes ages to add them and then I never look at them). I use some aspects of Getting Things Done (GTD), eg I do a weekly review, but I mostly find it overly complex. My life is busy and complex - managing my tasks shouldn’t be. I like to keep things as simple as possible. I’ve been a premium user for about 18 months now. I’ve seen other people post about their workflows so I thought I’d share mine.
